Pay is commensurate with experience within a range of $18.75 - $23.00 per hour. Full time, non-exempt, benefits eligible. Responsibilities: The primary responsibility of the Office
Scheduling Specialist is to is to provide services for adults, adolescents and
children who require assistance with scheduling their medical provider
appointments, as well as maintaining and monitoring the integrity of the entire
medical appointment schedule. The job responsibilities are expected to be
shared with one other scheduler, based upon a mutually agreed upon distribution
of tasks that is approved by the Program Manager of Medical Services. Specific duties include but are not
limited to:
- Answering incoming
calls or returns messages from the scheduling line, as well as initiates calls
to patients regarding scheduling needs;
- Transferring calls
and/or messages to the appropriate department;
- Responding to and
addressing all staff requests to schedule appointments;
- Scheduling appointments
for medical providers in the electronic health record (EHR), with accuracy and
few errors is an essential skill of the position;
- Scheduling zoom
meetings, and email the meeting link to patients, and/or designee, for all
telehealth appointments. Document the zoom link into the communication log in
the patient's chart. Resend zoom links to patients or designees upon request or
as needed;
- Upon arrival at work reviewing
messages and emails from the last 24 hours that have not been addressed, and notifying
other departments as needed;
- Covering the other
Office Scheduling Specialist's shared tasks when they are out of the office;
and
- Any job-related tasks
not mentioned above, assigned by the Program Manager of Medical Services or
other department leadership.
Qualifications: The Office Scheduling Specialist position
requires but not limited to:
- High school diploma or equivalent;
- Two years of clinical office
experience including reception, scheduling, and administrative tasks.
Experience working in a call center environment is preferred, but not
required;
- Knowledge and ability to operate
standard office equipment;
- Computer experience with
Microsoft Office applications. Achieve a working knowledge and competence
in the management and use of the electronic health record (EHR) within 6
months of hire;
- Must be detail oriented and
demonstrate consistent accuracy with work related tasks;
- Flexibility to help with various
tasks;
- Energetic and positive approach
to the rapidly evolving changes and challenges of a complex work environment;
and
- Demonstrated ability to convey
collaboration and respect communicating with other departments
