Pay is commensurate with experience within a range of $25.00 - $35.00 per hour. Full time(40 hours per week), non-exempt, benefits eligible. The Executive Assistant provides high-level administrative support to the Chief Medical Officer (CMO) at Bert Nash Community Mental Health Center. This role is vital in ensuring the CMO's day-to-day operations run smoothly, managing calendars, coordinating meetings, handling confidential information, and supporting project management. The ideal candidate is proactive, highly organized, and possesses exceptional skills in Microsoft Office and other presentation and workflow design software. This position reports directly to the Director of Executive Administration.

Responsibilities (including but not limited to):

  • Manage and prioritize the CMO's calendar, including scheduling internal and external meetings, coordinating travel arrangements, and resolving scheduling conflicts.
  • Serve as the primary point of contact for communication to and from the CMO.
  • Lead and manage projects for the CMO, including tracking deadlines, monitoring progress, and ensuring deliverables are met.
  • Manage data entry and reporting related to Med Services, Medication-Assisted Treatment (MAT), and Integrated Care programs.
  • Handle sensitive and confidential information with discretion and integrity.
  • Maintain organized filing systems, ensuring records are easily accessible and up-to-date.
  • Manage data and reporting for program-related metrics and outcomes.

Qualifications:

  • An associate or bachelor's degree is preferred.
  • Minimum of 3 years of executive assistant or administrative support experience, preferably in healthcare or mental health settings.
  • Proven experience in project management, including managing timelines, coordinating resources, and driving team progress.
  • Exceptional proficiency in Microsoft Office Suite (PowerPoint, Excel, Word), as well as newer presentation and workflow design software.
  • Experience with designing workflows and creating medical algorithms.
  • Strong project management skills, with the ability to handle multiple projects simultaneously and meet deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently, with a proactive and solution-oriented mindset.
  • Comfortable handling confidential information with discretion.
